What the Role Involves

Booking and Vehicle Check-In:

  • Managing the service department's booking schedule, taking customer booking enquiries by telephone, online and in person, identifying the correct repair or maintenance scope from the customer's description, allocating the appropriate time in the workshop schedule and confirming the booking with the customer
  • Receiving vehicles at check-in, conducting a full vehicle walkaround with the customer to record any pre-existing damage, confirming the work required, reviewing any outstanding recall campaigns or service due notifications in the DMS vehicle record and setting accurate expectations on completion time, cost and any areas where a further diagnosis may refine the estimate
  • Opening the job card in the DMS with the correct labour operations, advising the workshop of any customer preferences - collection time requirements, loan vehicle needs, contact preference for authorisation - and ensuring the workshop controller has everything needed to allocate the job into the technician's daily schedule efficiently

Additional Work Management:

  • Receiving and reviewing vehicle health check results and tyre and brake measurements from technicians during the service, contacting the customer with a clear, confident and benefit-focused explanation of the identified additional work, presenting the cost and the consequence of deferral honestly and obtaining authorisation before ordering parts or proceeding with additional repairs
  • Managing the additional work conversation in a way that builds the customer's trust through transparency rather than pressure, maintaining the long-term relationship value that creates the returning customer appointments and referrals that underpin the service department's sustainable revenue

Warranty, Service Plan and Customer Communication:

  • Identifying warranty-eligible repairs during the check-in and additional work process, communicating warranty coverage to the customer correctly and instructing the workshop to complete the warranty documentation required for the Service Administrator's claim submission
  • Applying service plan entitlements correctly to service plan customer bookings, ensuring the customer's entitlement is fully utilised, communicating the value of the plan to the customer and supporting renewal conversations at the appropriate ownership stage
  • Proactively communicating vehicle progress throughout the day - particularly when work is taking longer than expected or when additional work has generated a delay to the original collection time - ensuring no customer arrives for collection to discover a situation they were not briefed on in advance

Collection, Invoice Presentation and CSI:

  • Presenting the completed job card and invoice to the customer at collection, explaining every labour and parts line clearly and professionally, answering any questions about the work carried out, and ensuring the customer leaves with a full understanding of what was done, what was recommended for a future visit and when their next service is due
  • Managing customer complaints professionally and promptly where they arise, resolving issues within the advisor's authority level and escalating genuine service failures to the Service Manager with a full account of the situation rather than a partial one
  • Supporting the manufacturer's customer satisfaction survey process by ensuring every customer interaction from check-in to collection reflects the standard the survey will ask the customer to rate
