The Service Administrator is the administrative core of the dealership's aftersales operation - the professional who ensures every job card is processed accurately, every warranty claim is submitted correctly, every service plan booking is administered compliantly and every customer invoice reflects the actual work authorised and completed. The Service Administrator works at the intersection of the workshop, the service reception team and the accounts function, converting the daily output of a busy service department into the accurate financial and operational records the business depends on.
In a franchised dealership processing hundreds of service and repair events each month, the precision of the Service Administrator's work directly affects the department's financial performance. A warranty claim submitted without the required documentation is declined. A job card posted to the wrong cost centre creates a management accounts discrepancy. An invoice that charges for a part that was not fitted generates a customer complaint and a credit note. A service plan claim that misses the submission window results in lost revenue that cannot be recovered. None of these failures are recoverable without cost - and all of them are preventable by a Service Administrator who understands the processes, applies them consistently and maintains the accuracy standard the department requires.
Venatu recruits Service Administrators for permanent and contract roles across franchised car and commercial vehicle dealerships and dealer groups throughout the UK. This role sits within our car dealership and truck and van recruitment divisions. For front-of-house service reception roles, see the Service Advisor page. What the Role Involves
Job Card Processing and Invoicing:
- Opening job cards in the DMS for every vehicle entering the service department, allocating the correct labour operation codes, parts lines and technician assignments in line with the booked work and any additional work authorised during the vehicle's attendance
- Closing and invoicing job cards accurately on vehicle completion, verifying that every labour item, parts line, sublet charge and sundry cost is correctly posted before the invoice is generated and presented to the customer or the relevant charge account
- Processing internal job cards for demonstrator, courtesy car, stock vehicle and workshop tool and equipment maintenance, ensuring internal job costs are allocated to the correct cost centre in the DMS for accurate departmental management accounting
Warranty Claim Administration:
- Processing warranty claims for all warranty-eligible repairs carried out in the service department, confirming warranty coverage against the manufacturer's terms before submitting, attaching the required diagnostic evidence, parts documentation and technician identification to each claim and submitting within the manufacturer's defined claim window
- Managing warranty claim audit responses, providing the required supplementary documentation when a manufacturer warranty audit requests additional evidence for a processed claim and escalating any claim that is at risk of decline to the Head of Aftersales for review
- Reconciling warranty credit notes received from the manufacturer against submitted claims, identifying any shortfall between claimed and approved amounts and raising any discrepancies with the warranty team or manufacturer warranty helpdesk for resolution
Service Plan Administration:
- Booking service plan customers into the service department's booking schedule, applying the correct service plan entitlement to the booking and ensuring the DMS reflects the service plan customer status accurately before the vehicle's arrival
- Processing service plan claims following each service plan visit, submitting claims to the plan provider within the required timeframe and reconciling claims received against submitted entitlements to protect the department's full service plan revenue recovery
- Managing service plan renewal correspondence for customers approaching the end of their current plan term, supporting the Service Advisor team's outbound renewal communication
Records and Compliance:
- Maintaining accurate service records for every vehicle, ensuring all service history, warranty events, recall completions and service plan entitlements are recorded in the DMS vehicle record correctly and that the manufacturer's customer portal reflects the current service status for every car in the dealership's service population
- Managing recall campaign administration, identifying vehicles in the service population subject to outstanding recalls, scheduling recall completion appointments and processing recall completion records with the manufacturer within the required reporting timeframe
- Supporting the Dealer Accountant with month-end aftersales accounts processing, ensuring outstanding job cards are closed, warranty credit notes are reconciled and service plan claims are submitted before the period closes

FAQ
What does a Service Administrator do in a franchised dealership? A Service Administrator processes the full administrative output of the service department - opening and closing job cards, invoicing completed work, submitting warranty claims, administering service plan bookings and claims, managing recall campaign completion records and maintaining vehicle service history in the DMS. They provide the administrative infrastructure that allows the service reception and workshop teams to operate commercially without being diverted by documentation processing tasks.
What is the difference between a Service Administrator and a Service Advisor? A Service Advisor is the customer-facing member of the service team responsible for booking vehicles in, communicating with customers, authorising additional work and managing the customer experience throughout the vehicle's attendance. A Service Administrator processes the back-office documentation generated by those interactions - job cards, invoices, warranty claims and service plan records. In smaller service departments the two functions may overlap within a combined role. Venatu confirms the scope with each employer before presenting candidates.
What does a Service Administrator earn in the UK? Experienced Dealership Service Administrators typically earn between £24,000 and £32,000. Warranty Administrators earn between £26,000 and £34,000. Senior Service Administrators earn between £28,000 and £38,000. Venatu benchmarks package expectations with each employer before beginning a search.
What is the progression from Service Administrator? Common progression routes include Senior Service Administrator, Service Advisor for those who want to move into the customer-facing service reception role, and warranty or service plan specialist roles within dealer groups or manufacturer warranty operations. Service Administrators who develop deep DMS proficiency, thorough warranty claim knowledge and a detailed understanding of the department's financial processes are well positioned for broader aftersales management development.
