What the Role Involves

Customer Management and Labour Sales:

  • Handling the full vehicle check-in process for customer service, warranty, maintenance plan, fleet account and internal workshop bookings, completing a thorough vehicle walk-around condition check with the customer at drop-off, setting accurate expectations on completion time, cost and the scope of work to be carried out
  • Managing additional work authorisations from the workshop throughout the day, communicating identified additional work to customers clearly and professionally, applying an effective upselling technique that focuses on the benefit to the customer's safety and vehicle reliability and achieving a consistent additional work authorisation rate above the department's baseline
  • Managing customer communication throughout the vehicle's time in the workshop, proactively contacting customers to update them on progress and any change to the expected completion time or cost before the customer contacts the dealership to chase
  • Handling vehicle collection, presenting the completed job card to the customer in a way that explains the work carried out and any recommendations deferred to the next visit, managing any customer concern or complaint about work quality, cost or completion directly and escalating to the service manager only where the situation requires a management-level involvement

Warranty and Service Plan Administration:

  • Processing warranty authorisation for warranty-eligible repairs, confirming warranty applicability against the manufacturer's warranty terms, obtaining factory authorisation where required for high-value or unusual claims, and completing warranty claim documentation accurately for submission within the manufacturer's claim window
  • Managing service plan bookings, applying the correct service plan benefits to each customer's booking and ensuring the invoicing and claim process for service plan work is completed accurately in the DMS to protect the business's entitlement to service plan funding
  • Identifying any warranty or service plan claim that does not clearly meet the manufacturer's eligibility criteria and flagging the situation to the Head of Aftersales before committing the business to a claim that may be declined

Team Support and Development:

  • Supporting less experienced Service Advisors with technical communication questions, customer situation management and any scenario where the advisor's experience level is not adequate to manage the situation independently
  • Covering the Assistant Service Manager's daily supervisory responsibilities in their absence, managing the service reception team's workload allocation, ensuring the day's bookings are processed on time and providing the workshop with the information they need to plan the working day efficiently
  • Contributing to new advisor induction, sharing knowledge of the DMS processes, manufacturer warranty procedures and customer management approach that the dealership's service standard requires

EV and Technical Knowledge Application:

  • Applying an up-to-date knowledge of electrified vehicle service requirements to bookings involving hybrid and electric vehicles - communicating service differences to customers, handling queries about warranty coverage on battery systems and charging components and ensuring the workshop is aware of any high-voltage awareness requirements applicable to the specific vehicle being serviced
