What the Role Involves

Vehicle Check-Out:

  • Preparing each rental agreement for the customer's arrival, confirming the booking details, vehicle category and rental terms in the reservation system and ensuring the allocated vehicle is ready, clean and fuelled to the required standard before the customer arrives
  • Greeting the customer at the counter, verifying their identity and driving licence, explaining the rental agreement terms including fuel policy, mileage allowance, damage liability and any pre-authorisation requirement, and ensuring the customer understands and signs the agreement before accepting the vehicle
  • Presenting the ancillary product range - collision damage waiver upgrades, personal accident insurance, additional driver cover, pre-paid fuel, GPS and child seat - clearly and professionally during check-out, explaining the benefit of each product in a way that is helpful rather than pressured
  • Conducting the vehicle check-out inspection with the customer, walking around the vehicle together, recording any pre-existing damage accurately on the condition report and ensuring both the customer and the branch have a signed copy of the condition record before departure

Vehicle Check-In:

  • Receiving returned vehicles, conducting a thorough check-in inspection against the check-out condition report, accurately identifying any new damage, excessive soiling or missing items and recording the findings on the return condition report
  • Processing fuel and mileage charges in line with the rental agreement, applying additional charges correctly within the system, explaining any charges to the customer clearly and professionally and escalating any customer dispute about damage assessment to the Rental Branch Manager
  • Initiating the vehicle preparation process following check-in, ensuring vehicles are valeted and returned to fleet availability as quickly as possible to support utilisation

Bookings and Administration:

  • Taking inbound telephone and walk-in booking enquiries, qualifying the customer's requirement, providing an appropriate vehicle recommendation and confirming the booking accurately in the rental management system
  • Managing reservation changes, extensions and early returns in the system, communicating availability implications to the branch manager where changes affect fleet planning
  • Processing payment, issuing receipts and managing cash and card transactions in accordance with the employer's financial and GDPR procedures
  • Maintaining accurate records in the rental management system, ensuring all rental agreements are fully completed, signed and filed and that vehicle availability status is kept current throughout every shift
