Receptionist (Dealership) Jobs

Dealership Receptionist Jobs UK

The Dealership Receptionist is the first person a customer encounters when they visit or call a franchised dealership - and that first impression shapes everything that follows. In a sector where customer experience scores directly affect manufacturer bonus payments, repeat purchase rates and referral behaviour, the Receptionist who greets customers warmly, handles calls professionally, directs enquiries accurately and presents the dealership's brand standard from the moment of first contact is contributing to the business's commercial performance in a way that is often underestimated and rarely replaced easily.

The Dealership Receptionist role is broader than a general reception position. Alongside customer welcome and switchboard management, the role typically encompasses administrative support for the sales and aftersales teams, customer waiting area management, refreshment service, dealer management system data entry, outgoing customer contact support and occasional ad hoc administrative tasks that arise across both functions. In larger dealerships the role may be supported by a second reception team member; in smaller single-site operations the Receptionist may be the sole front-of-house representative for the entire business throughout their shift.

The dealership that invests in the right Receptionist - someone who is genuinely warm, unfailingly professional, operationally organised and comfortable representing a premium brand standard - creates a first-contact experience that the customer notices, remembers and references when they describe the dealership to others. That quality is not interchangeable and it is not easily replicated in a role that many businesses mistake for an entry-level administration position.

Venatu recruits Dealership Receptionists for permanent and temporary roles across franchised car and commercial vehicle dealerships throughout the UK. This role sits within our car dealership recruitment division. For front-of-house roles specifically within the bodyshop, see the Bodyshop Receptionist page.

Who Can Apply

Dealership Receptionist roles attract candidates from a broad range of customer-facing and administrative backgrounds. Strong placements typically come from:

  • Experienced Dealership Receptionists who want to move to a new franchise brand, a larger or better-structured employer or an improved package
  • Receptionists from premium retail, hospitality or professional services backgrounds - hotel front desk staff, luxury retail hosts, law firm or financial services front-of-house professionals - who have delivered high standards of personalised customer welcome and want to apply those skills in the automotive sector
  • Bodyshop Receptionists who want to move from the bodyshop front-of-house environment into the main dealership reception role, where the customer mix, daily variety and brand environment are different
  • Administrative professionals from motor trade backgrounds - dealership administrators, Finance Administrators, parts or service administrators - who want to move into the front-of-house role where their DMS knowledge and dealership environment familiarity are immediately applicable
  • Customer service professionals from contact centres, retail or leisure businesses who want a working environment that is more relationship-based, professionally structured and brand-conscious than a high-volume customer service role
  • School leavers and entry-level candidates with a professional presentation standard, confident and courteous communication and a genuine interest in working within a premium brand environment

Strong candidates must present to a high personal standard consistent with the manufacturer brand the dealership represents, communicate clearly and warmly in person and by telephone, and manage multiple concurrent tasks - incoming calls, customer greetings, administrative requests - without allowing any single demand to make another customer or team member feel overlooked. Familiarity with a DMS such as Keyloop (CDK), Autoline (Kerridge) or Pinewood is valued and typically provided through employer training. Venatu confirms the brand standard, working hours and administrative scope with each employer before presenting candidates.

What the Role Involves

  • Greeting every customer who enters the dealership promptly and warmly, identifying the purpose of their visit, directing them to the appropriate team member and ensuring they are comfortable in the customer waiting area if any delay arises before the relevant colleague is available
  • Managing the customer waiting area throughout the day - ensuring the space is clean, well-presented and stocked with refreshments, that customer-facing literature and display materials are current and that the brand standard of the environment is maintained throughout all opening hours
  • Offering and providing refreshments to customers waiting in the showroom or service reception, maintaining the refreshment station to a professional standard and checking the customer's needs at appropriate intervals during longer waits

Switchboard and Communication Management:

  • Answering all incoming telephone calls to the main dealership number promptly and professionally, identifying the caller's requirement accurately and transferring the call to the correct department or team member without delay
  • Taking accurate messages for team members who are unavailable and communicating those messages promptly through the agreed channel - telephone, DMS notification or direct message - to ensure no customer enquiry falls unanswered
  • Managing the dealership's general email inbox where allocated, forwarding enquiries to the correct department and responding to basic information requests within the employer's response time standard

Administrative Support:

  • Supporting the sales and aftersales teams with administrative tasks that arise across the working day - printing, scanning, filing, data entry into the DMS, new vehicle handover folder preparation, customer survey distribution and any administrative support that the relevant team member requires
  • Maintaining the visitor log, managing building access for contractors and non-customer visitors in line with the employer's site security procedure
  • Supporting outgoing customer contact programmes where required - courtesy call lists, appointment reminder outreach or customer satisfaction follow-up programmes - in accordance with the instruction of the relevant department manager

Brand Standard:

  • Presenting to the manufacturer brand's personal presentation standard throughout every shift, reflecting the professionalism and product positioning of the franchise brand in every customer interaction
  • Maintaining awareness of the dealership's current promotions, events and key team members so that customer enquiries about current offers, test drive events or the correct sales or service contact can be answered confidently and accurately

FAQ

What does a Dealership Receptionist do? A Dealership Receptionist is responsible for greeting and welcoming customers on arrival, managing the inbound telephone switchboard, directing queries to the correct department or team member, managing the customer waiting area and providing administrative support to the sales and aftersales teams. They are the brand's first point of contact for every customer who visits or calls the dealership and their manner, professionalism and welcome standard directly shape the customer's early impression of the business.

What is the difference between a Dealership Receptionist and a Bodyshop Receptionist? The Dealership Receptionist manages front-of-house for the full dealership operation including sales, service and parts customer traffic, and is the primary brand representative at the showroom entrance. The Bodyshop Receptionist manages the customer-facing function specifically within the accident repair and bodyshop operation, typically handling accident repair booking, insurance liaison and bodyshop customer communication as well as front-of-house welcome for bodyshop customers. The two roles operate in related but distinct environments.

Do Dealership Receptionists need motor trade experience? Not necessarily at entry level, though familiarity with the automotive environment and an enthusiasm for the industry is valued. The primary requirements - a warm and professional manner, smart personal presentation, confident telephone communication and the ability to manage multiple concurrent demands without losing composure - are transferable from premium retail, hospitality, professional services and other customer-facing backgrounds. DMS training is provided by most employers. Venatu advises candidates from non-automotive backgrounds on how to position their customer service experience for dealership reception roles.

What does a Dealership Receptionist earn in the UK? Experienced Dealership Receptionists typically earn between £24,000 and £32,000. Senior or combined receptionist and administrator roles earn between £28,000 and £36,000. Venatu benchmarks package expectations with each employer before beginning a search.

What is the progression from Dealership Receptionist? Common progression routes include Senior Receptionist, Dealership Administrator, Finance Administrator, Bodyshop Administrator and, for those who develop a customer communication specialism, Customer Retention Executive. Receptionists who develop strong DMS competency and a thorough knowledge of the dealership's team structure are well placed for internal moves into sales or aftersales administrative and support functions.
