What the Role Involves

Payroll Processing:

  • Processing the full payroll cycle for the dealership or group's employed workforce, including salaried staff, hourly-paid operatives, flat rate technicians, commission-earning sales staff and bonus-eligible managers, ensuring every pay element is calculated correctly and posted to the payroll system accurately within the period deadline
  • Calculating flat rate technician pay from the dealer management system's labour efficiency reports, reconciling clocked hours against booked time allocations, applying the employer's flat rate efficiency calculation methodology and resolving any discrepancies with the workshop controller before processing
  • Calculating and applying commission payments for vehicle sales staff and Business Managers from the DMS sales performance reports, verifying commission-triggering deal completions against the finance and sales ledger records and ensuring all commission calculations reconcile with the period's documented deal output
  • Processing statutory payments including Statutory Maternity Pay, Statutory Paternity Pay, Statutory Sick Pay and Statutory Adoption Pay accurately in accordance with HMRC guidance, ensuring correct rates and qualifying period calculations are applied and that statutory payment records are maintained for audit purposes

PAYE, RTI and Pension Administration:

  • Submitting Full Payment Submissions (FPS) and Employer Payment Summaries (EPS) to HMRC within the required Real Time Information deadline for each pay period, resolving any RTI submission errors promptly to avoid HMRC penalty exposure
  • Managing the employer's auto-enrolment pension obligations including eligibility assessments for new starters, contribution calculations, enrolment communications and pension provider submission within the statutory deadline

  • Processing leavers including the calculation of outstanding holiday pay, commission or bonus entitlement on termination, the issue of P45 documentation and the notification of the leaver to the pension provider within the required timeframe
  • Processing mid-period pay changes including salary increases, pay rate adjustments, shift premium changes and commission structure amendments from an approved HR or management authorisation document

Reporting and Reconciliation:

  • Preparing the payroll journal for posting to the dealership's or group's management accounts, ensuring payroll cost is correctly allocated across the relevant department cost centres and reconciling the payroll journal to the payroll software output before submission to the Dealer Accountant
  • Reconciling the employer's PAYE liability each period, preparing the monthly payment to HMRC within the payment deadline and maintaining a reconciled PAYE account throughout the tax year to ensure the end-of-year P60 and P11D processes can be completed accurately
