What the Role Involves

  • Managing a live portfolio of fleet vehicles, maintaining an accurate and current record of each vehicle's location, driver assignment, mileage, service status, inspection date and any outstanding defects or compliance actions in the fleet management system
  • Scheduling and coordinating vehicle service, MOT, inspection and annual test events with approved workshops, dealerships or VMU facilities, ensuring vehicles are booked in and returned within the planned window to minimise operational downtime
  • Coordinating vehicle collection and delivery logistics between operating sites, workshops and drivers, working with the collection and delivery resource or third-party logistics providers as required
  • Managing driver allocation, vehicle handover documentation and driver change events, ensuring all records are updated promptly in the fleet management system
  • Responding to driver queries including vehicle defect reports, replacement vehicle requests, accident notification and service booking requests, resolving them promptly and within the employer's process
  • Monitoring fleet maintenance schedules and flagging vehicles approaching service, MoT, licence renewal or inspection milestones to the relevant workshop or Fleet Manager in advance of due date
  • Managing replacement vehicle or pool car allocation during planned or unplanned vehicle downtime, sourcing from the employer's own pool, leasing company courtesy car programme or hire fleet as applicable
  • Managing accident and damage notifications, coordinating the repair referral process with the employer's accident management partner, tracking vehicle repair status and managing driver communication throughout
  • Producing daily, weekly and monthly fleet status reports including availability rates, overdue maintenance events, accident volumes and pool vehicle utilisation for the Fleet Manager
  • Supporting the De-fleet Coordinator with end-of-contract vehicle handback logistics where the operation includes leased vehicles approaching term
