De-fleet Coordinator Jobs

De-fleet Coordinator Jobs UK

The De-fleet Coordinator manages the operational and administrative process of returning vehicles from fleet at the end of their contract, lease or operational life. Working at the intersection of logistics, inspection management, damage assessment and remarketing coordination, the role is the hub around which every end-of-contract vehicle handback revolves.

De-fleeting is commercially significant. Damage recharge accuracy, handback condition dispute management, remarketing timing and inspection scheduling all have a direct impact on residual revenue and the leasing company's or fleet operator's bottom line. The De-fleet Coordinator who manages this process with data precision, clear communication and a clean audit trail for every vehicle is a real commercial asset to any fleet or leasing operation.

Venatu recruits De-fleet Coordinators for permanent and contract roles across vehicle leasing companies, fleet management businesses, contract hire operators, vehicle rental companies, manufacturer captive fleet return operations and large corporate in-house fleet functions throughout the UK. This role sits within our truck and van and operational support recruitment divisions.

Who Can Apply

De-fleet Coordinator roles suit candidates with a combination of logistics administration, fleet awareness and data management experience. Strong candidates typically come from:

  • Experienced De-fleet or Fleet Return Coordinators at leasing companies, fleet management businesses or rental operators who want to move to a new employer, a higher-volume operation or a broader fleet function
  • Fleet administrators or transport administrators who have been involved in vehicle ordering, maintenance scheduling or end-of-contract management and want to take on dedicated coordination of the vehicle return and disposal process
  • Contract Hire Executives or fleet account management support staff who have been close to the handback process from the commercial side and want to move into the operational coordination function
  • Collection and Delivery Drivers who have conducted vehicle condition checks at the point of collection and want to move into a coordination and administration role with less road time
  • Vehicle condition inspectors or damage assessors from fleet or lease return inspection backgrounds who want to broaden into the full de-fleet coordination process rather than focusing solely on inspection
  • Customer service or logistics coordinators from fleet-adjacent sectors including motor insurance, accident management or vehicle leasing support who want to move into a dedicated fleet returns role
  • Car Buyers working in fleet disposal or de-fleet remarketing who want to move towards the coordination and logistics side of the operation

Familiarity with BVRLA Fair Wear and Tear standards, fleet management platforms and vehicle inspection processes is valued but not always essential at entry level. Venatu confirms the systems, inspection standards and volume requirements with each employer before presenting candidates.

FAQ

What does a De-fleet Coordinator do? A De-fleet Coordinator manages the end-of-contract or end-of-life vehicle return process for a leasing company, fleet management business or corporate fleet operation. This includes scheduling vehicle collections, arranging and reviewing inspections, processing damage recharges, coordinating vehicle logistics to remarketing destinations and maintaining an accurate record for every vehicle throughout the cycle. The role is the operational hub of the vehicle return chain.

What is BVRLA Fair Wear and Tear and why does it matter for De-fleet Coordinators? The BVRLA Fair Wear and Tear standard defines the acceptable condition of a vehicle at the end of a leasing or contract hire agreement. Damage that falls outside these guidelines is rechargeable to the driver or fleet customer. The De-fleet Coordinator must be able to apply these standards accurately when reviewing inspection reports to ensure recharges are justified, consistently applied and defensible in the event of a dispute. Accurate application of Fair Wear and Tear guidelines directly protects the employer's recharge revenue. Venatu confirms the inspection standard framework used by each employer before presenting candidates.

What fleet management systems do De-fleet Coordinators use? Systems vary by employer. Common platforms include Jaama Key2, Chevin FleetWave, FleetCheck and the proprietary systems of major leasing companies and manufacturers. Auction and remarketing platforms such as BCA Dealer Pro and Manheim are relevant in roles with active remarketing responsibility. Strong Excel skills are useful for volume tracking and recharge reconciliation across all operations. Venatu confirms the systems in use with each employer before presenting candidates.

What does a De-fleet Coordinator earn in the UK? Experienced De-fleet Coordinators typically earn between £28,000 and £36,000. Senior coordinators and team leaders earn between £34,000 and £46,000. De-fleet Manager roles typically range from £42,000 to £55,000. Venatu benchmarks package expectations with each client before beginning a search.

What is the progression from De-fleet Coordinator? Common progression routes include Senior De-fleet Coordinator, De-fleet Team Leader, Fleet Operations Manager and broader fleet management or account management roles. Coordinators who develop strong commercial awareness in the remarketing and damage recharge functions are also well placed to move into fleet procurement, vehicle acquisition or Contract Hire account management.
